Register Your Interest - Fleet Rental Placement

Primary Purpose of the Job

Reporting to the Supply & Operations Manager the primary purpose of this role is to support the Fleet rental team with key reporting and activity of asset management from buying vehicles, managing the asset in life with logistic moves, refurbishment, taxing and other requirements through to de-fleeting and selling vehicles. This role will have exposure to all areas of fleet management within the rental industry alongside the opportunity to develop key analytical skills in reporting and effective business management.

Main Responsibilities

  • Generate insightful Fleet reporting regularly and on request to detail;
  • Fleet portfolio, new cases and sold vehicles
  • Vehicle movements and spend
  • Damage and Recharge revenue and spend
  • Supplier spend
  • Vehicle fleet utilisation and trends
  • Vehicle availability reporting
  • Identify and plan vehicle selection for new customers and locations with the Assistant Fleet Manager in line with customer and location requirements
  • Document all incoming new vehicles on to fleet checking vehicle invoices to ensure accurate information is recorded
  • Support the Fleet & Customer Operations Executives with in life asset management tasks to enable the smooth running of fleet to include managing and raising ad hoc invoices from the rental system such as excess mileage charges, write offs, fines, insurance, sales invoices
  • Support the Fleet Services Support Manager to ensure vehicle downtime is minimal resulting in higher vehicle utilisation and optimisation liaising with 3rd party suppliers, dealers and customers as appropriate
  • Support the Fleet & Customer Operations Executives with effective processing of logistics movements for customers & rental locations through successful communication with 3rd party suppliers ensuring SLA’s are adhered to
  • Generate customer and head office invoices to locations to ensure the Mobility revenue stream is maintained
  • Liaise with Finance to ensure invoices are processed correctly and within SLA to maintain effective management of the payment process
  • Through regular research and industry awareness ensure the Mobility Services Management Team are kept up to date with any environmental, legal, economic, political developments directly impacting fleet and rental business in the Mobility Sector

Principal Contacts / Working Relationships

  • Internal Team – Work with and support Senior Managers and Mobility Team within VWFS by providing reporting information and responding promptly to queries.
  • Internal - Stakeholders within the business; Finance, Fleet Admin, VW Group
  • External – Work with 3rd party suppliers, reporting on performance and capabilities within SLA’s

Decision Making Scope

  • Decide what and when to escalate an issue to colleagues and/or management
  • Prioritise own diary to ensure support is allocated effectively and efficiently
  • Locate best sources of information required to complete responsibilities
  • Best methods of data presentation

Key Challenges

  • Multiple work streams with changing priorities, prioritisation and effective communication will be key to success
  • Accuracy will be essential, even when working under time pressure. Mistakes could cost money or loss of reputation with VWG or key stakeholders
  • The ability to transform market data into business intelligence and provide impactful analysis. This will require a good understanding of how Rent-a-Car operates and the key drivers for success within the rental market
  • Ability to operate autonomously and use self-initiative to develop solutions to challenges provided (e.g. where to find relevant data and summarise in a meaningful format)

Education, Training and Experience

  • This undergraduate role requires a strong can-do team player attitude
  • Proficiency in Microsoft Office Applications (Word, Excel, Outlook) is required
  • Proficiency or exposure to Tableau is preferred
  • The range of experience gained from this role will be transferrable to any business
