Primary Purpose of the Job

VWFS:Fleet are a vehicle leasing company who manage a portfolio of vehicles from all manufacturers (not just Volkswagen Group products) leased on Contract Hire to corporate fleet customers. Customers are segmented as A+ ‘Strategic’ or A-E dependant on size of their fleet. Every customer is important to us.

We value every interaction, as the way we respond to their requests and issues will determine whether we maintain this market share, generate renewal business and win new business opportunity. Any leasing company can win and fund vehicles on contract hire, it’s how we manage these relationships which decides whether they stay with VWFS or move to another leasing company when their contract ends.

When a corporate customer leases vehicles from VWFS Fleet, they also expect supporting services which are often delivered by third party suppliers. Some examples of services are Roadside Recovery, Glass replacement, Tyre replacement, Rental Vehicles or Telematics boxes. It is important to VWFS Fleet that we are working with suppliers who will deliver the best service to our customers aligned with VWFS Fleet values. Our corporate customers should not see a difference in the communication or service delivery from us or our suppliers. High standards and quality products are paramount.

The purpose of the Fleet Supply team is to make sure we have the best suppliers on our panel and we manage the contractual relationships between our company and theirs. We need operational Service Levels and Key Performance Indicators to be met, we need innovation and great customer service and its our job to make sure that’s what we get from our suppliers. We also manage all invoicing in relation to the purchase of good and services, the recharging process to our customers and consolidated billing to make bundles costs clearer for our customers.

Main Responsibilities

Reporting to the Fleet Supply Manager, the role holder will be responsible for the following key tasks:

Responsibilities

  • You will support the Supply team by collating and analysing supplier performance, populating a monthly senior management dashboard
  • Complete verification checks on Supplier invoices to make sure we are only paying for services purchased
  • Raise invoices to customers for services purchased
  • Consolidate customer monthly bills
  • Own the management of all telematics operational queries
  • Support the Fleet Supplier Managers in review meetings as well as preparation of performance reports to drive supplier improvements
  • You will be one of the initial contact points for a variety of stakeholders who have queries regarding the suppliers or the services from selected suppliers
  • You will have the opportunity to be a part of tendering for new services – reading and scoring responses from bidders for VWFS business, attending presentations and completing site visits

  • Strong written and verbal communication skills, with the confidence to manage relationships with stakeholders across the business
  • A team player with the ability to work under pressure in order to meet strict deadlines
  • Excellent organisational skills and ability to use own initiative through creative thinking, problem solving and critical analysis
  • Demonstrate high levels of accuracy and attention to detail to meet demanding deadlines
  • Advanced PC literacy – Microsoft office skills especially Excel for reporting requirements
  • Ability to present findings back verbally in addition to written reports/presentations
  • Attention to detail with a high degree of accuracy and ability to work under pressure
  • Help the team deliver continuous business change through innovative thinking
  • Full PC literacy essential, including Microsoft Office products, excel skills are an advantage
  • Strong Customer focus essential with a determination to resolve Customer queries first time

Principal Contacts / Working Relationships

  • Daily/weekly contact with Fleet Supply Manager to identify priorities
  • Daily/weekly contact with Fleet Supply Team to discuss and support on all activities
  • Internal Fleet departments; Fleet Finance, Sales and Marketing, Fleet Maintenance and Fleet Sales Support
  • Suppliers – Monthly contact for reporting
  • Corporate customers – daily/weekly contact for query resolution and consolidated billing

Decision Making Scope

This role has lots of autonomy and scope to manage own workload and identify solutions to problems. The post holder will discuss courses of action among other alternatives with the Fleet Supply Manager and wider Fleet Supply Team
