Register Your Interest - Communications and PR Placement
Primary Purpose of the Job
To support the Internal Communications team in the planning, creation and distribution of content and activity across the business, designed to inform, engage and motivate colleagues at VWFS.
Main Responsibilities
- Supporting the team with all VWFS internal communications activity, from our company intranet to delivering colleague events.
- Maintaining a detailed annual communications plan, to keep the team focused and delivering at pace and on time.
- Creating and distributing internal communications and working on employee engagement campaigns.
- Providing creative and logistical support for all communications and engagement activities to the wider business.
- Support with logistics and preparations for internal events and stakeholder meetings including creating slides and materials. This includes creating all promotional material and filming/editing any post event videos.
- Liaise with key stakeholders in the business to help share desired messages with our colleagues, whether it’s about an IT system upgrade or how to book holiday.
- Manage analytics and reporting on the effectiveness of how we communicate our messages to the business and make recommendations for improvements in order to increase employee awareness and engagement.
- Play a key role in creating content for our internal channels, this can include creating videos, podcasts or animations.
- Create and distribute our weekly e-newsletter to all colleagues.
Principal Contacts / Working Relationships
- The primary working relationship will be with the Internal Communications team. You will work closely with everyone in the team, including the General Manager of Corporate Communications, the Internal Communications Managers and External Communications Manager and support them in delivering work for their specific business areas.
- Through your work you are likely to form relationships with the Senior Leadership Team and the Board of Management in order to secure blogs, videos, podcasts, quotes and images for business-wide communications.
- A key relationship you will have is with our internal communications agency, who you will work closely with. You will work on the communications planner, helping to manage and update stakeholders and review work.
- You will also work closely with the external communications agency and dedicated PR function to see how you can assist in the work they are doing and also how it can be amplified internally.
Decision Making Scope
The overarching business strategy will be the main source of influence to your work and will underpin most messages and internal communications activity.
As part of your role, you will work closely with the internal communications agency and will manage the weekly planning of content for our intranet and decide what will appear in the business-wide weekly newsletter.
Key Challenges
As a key member of the team, you will support the Internal Communications team in delivering business-wide communications and events to ensure that our colleagues are informed, engaged and connected.
One of the challenges and exciting aspects of the job is that no day is the same. One day you’ll be creating our colleague newsletter and the next you’ll be assisting with organising an event for our 1200 strong work force.
You will take on a lot of responsibility for our intranet including the planning and uploading of content, which will then form part of the weekly newsletter you will create. This also means there will be systems and processes that you will have to learn in order to do this.
Another key challenge is managing stakeholders. A lot of the work that the undergraduate will take on will directly link to another colleague or departments objectives and strategy. Therefore it is extremely important to form good relationships and keep stakeholders updated on the process of the work that is being done to manage expectations.
It is a fast-paced environment, where you are able to try new things, think outside of the box and really making a difference. You can also add value to requests by suggesting a way to action a colleague’s objective or idea in the most effective way.
Education, Training and Experience
- A good communicator with the ability to form credible relationships across all levels of the business and manage key stakeholders at all levels of the organisation.
- Video editing ability and creative skills using Adobe or a similar platform.
- Excellent written communication and proof reading skills.
- Strong analytical skills and experience in simplifying complex information for different audiences.
- Highly PC literate, especially in the use of MS Office.
- Drive and ability to work under tight timelines.
