I am a Level 3 Business Administration Apprentice. My role is to provide essential administrative support to the management teams and the executive office while working toward my professional qualification.My daily responsibilities include:
Executive Assistance: Supporting the management team and Executive Assistants with high-priority tasks, such as managing director calendars, drafting meeting agendas, and professionally preparing documents.
Office Operations: Acting as a point of contact for office logistics, including reporting IT issues and coordinating facility requests like office relocations and confidential waste disposal.
Communication: Managing incoming post and handling telephone enquiries, which ranges from general internal queries to assisting with patient complaints.
Data & Reporting: Assisting with data entry and producing metrics reports using Microsoft Office to support the team’s digital readiness.
Professional Development: Attending structured theory sessions and learning specialized skills, such as minute-taking, to fulfill the requirements of the Level 3 Apprenticeship framework.
To what extent do you enjoy your programme?

I am very happy with my apprenticeship programme, largely due to the supportive culture within my team. My experience has been positive for several key reasons:

Structured Learning: Management has a clear understanding of my Level 3 Apprenticeship requirements. They actively assign tasks that directly relate to my educational framework, ensuring my work is relevant to my qualification.
Opportunities for Growth: I am frequently given opportunities to learn new specialized skills, such as minute-taking and data reporting, while maintaining a steady flow of routine administrative tasks.
Balanced Workload: The programme offers a great balance between performing essential operational duties and engaging in new learning experiences that fulfill my professional development needs.

I had no prior experience in administration, this apprenticeship has allowed me to build a completely new professional skillset while meeting my Level 3 requirements.
Communication & Interpersonal Skills: I have developed the ability to handle professional telephone enquiries and interact with a wide range of internal and external customers.
Calendar & Meeting Management: I have learned to manage complex director calendars and am developing specialized skills in drafting agendas and taking formal meeting minutes.
Digital Literacy & IT Skills: I have improved my proficiency in Microsoft Office packages, specifically using Word and Excel for data entry, retrieval, and metrics reporting.
Operational Administration: I have mastered essential office tasks, including the maintenance of both manual and electronic filing systems, managing post, and coordinating facility-related requests.
Professional Standards: I have gained a strong understanding of working within a regulated environment, following Trust policies regarding health, safety, and information security.

How well organised/structured is your programme?

The apprenticeship is very well-organized, providing a clear pathway between my daily duties and my qualification requirements. The structure is effective due to the following:
Clear Supervision: I am managed by the Department Manager and receive day-to-day supervision from a designated person within the department.
Educational Support: I have a dedicated Apprentice Coordinator who manages my reviews and oversees my education to ensure I am on track.
Defined Progression: The programme is structured to help me work toward the identified educational framework for a Level 3 Apprenticeship through a mix of practical work and structured teaching/theory sessions.
How much support do you receive from your employer?

I receive 100% support from my employer through a highly structured and encouraging environment. I work under the constant guidance of a department manager and a dedicated Apprentice Coordinator who ensure my daily tasks—such as managing calendars and handling enquiries—directly align with my Level 3 framework. The team is very clear about my educational requirements, providing a perfect balance of routine work and new learning opportunities, including attendance at structured theory sessions. With additional oversight from the Apprentice Team Lead and Pastoral Officer, I feel fully supported both professionally and personally as I work toward my qualification.
How much support do you receive from your training provider when working towards your qualifications?

The support from my training provider has been good overall and is well-integrated into my Level 3 Apprenticeship framework. I have structured monthly team meetings to review my progress, and I can reach them via email whenever I need additional guidance. While there was an instance where a trainer was on long-term sick leave without immediate notice, the provider responded very quickly once I raised the issue. They efficiently arranged a temporary trainer to ensure my education continued, though there was a transition period while they secured a permanent replacement. Overall, the communication remains reliable and supports my goal of becoming a knowledgeable Business Administrator.
How well do you feel that your qualification (through your training provider) helps you to perform better in your role?

The qualification provides a fair benefit to my daily performance, as the curriculum is very broad and not every module directly applies to my current desk. While some areas, such as financial management, are not requirements of my specific job, other units are extremely beneficial. I have found the training on learning the organization, communication skills, and decision-making to be very useful for my role. Additionally, the modules on mentoring and coaching have provided valuable perspective, even as I am still learning the fundamentals of my own position. These specific skills help me navigate the multidisciplinary environment of the Trust and better support the management team.
