Overview of Role

Please give an overview of your role and what this involves on a day-to-day basis:

I work as an Office Administrator. My key role is to price and invoice the engineers’ worksheets for the Marston’s, Greene king, Frederic Robinson and Burger King contracts. Occasionally I also do this for independent contracts or the Whitbread contract. I ensure the worksheet information is accurate and I aim to get these priced in a timely manner to prevent issues during the invoicing process.
I also go through each contractors portal and update them with the relevant information or latest ETA
I am responsible for chasing outstanding supplier credits and resolving any discrepancies.
I answer customer queries and complaints. This includes answering the service phone calls and responding to service emails.
On Mondays, I attend a Level 2 Finance Accounting Apprenticeship course. I’m currently learning the basics of Bookkeeping, Double Entry and maintaining accurate financial documents. This will help me develop my understanding of the processes within a workplace so I can eventually become a Chartered accountant.
To what extent do you enjoy your programme?

I really enjoy my course. I find it worthwhile as I’m actually learning things that are relevant to what I currently do/will be doing within my workplace. The course has helped me develop my understanding of terminology and the processes for financial processes.
My course is quite accommodating to me. I get support from both my workplace and my tutor. We recently had a progress review which highlighted the areas I need improvement in and which topics I’m strong in.

Skills Development

Have you learnt any new skills or developed existing skills?

I’ve learnt new terminology and processes such as double-entry bookkeeping, bank reconciliations and calculating VAT with discounts. I have developed my existing skills such as attention to detail and strengthening my maths and English skills.
I’ve also had to learn to manage my time throughout the week so I’m able to balancing my workload whilst studying.

Structure and Support

How well organised/structured is your programme?

My workplace is clearly structured. I have goals that I aim to reach daily and I am proactive in getting these done so that I don’t prevent the workflow of other departments from being able to do their work.
My course is very well structured. The topics are followed in a logical order. The tutor ensures we all have knowledge and understanding of the previous topic before moving to the next.
The course materials are extremely helpful and makes processes understandable
How much support do you receive from your employer?

I receive a lot of support from my employer. He’s not only allowed me the time to attend my course training each week, but he is also understanding when it comes to balancing my work, study and social life.
He is approachable so I feel comfortable asking for any support in the workplace.
I also receive support by being given the opportunity to apply what I learn on my apprenticeship to some of my financial tasks at work.
How much support do you receive from your training provider when working towards your qualifications?

I receive loads of support from my training provider and tutor. I have already had a progress review which has helped me understand which areas I need improvement in. During sessions, the class is always being asked if we understand the topics being covered to ensure we’re all keeping up with the course content. I feel comfortable asking for additional support as this is always encouraged by my tutor. We’ve also been given a range of course materials, such as the course and exam practice books, questions during sessions and the BPP portal. These are all helpful for revising and understanding content.
How well do you feel that your qualification (through your training provider) helps you to perform better in your role?

My training and qualification has helped me because I now have a clearer understanding of why we carry out certain financial processes. The knowledge I am gaining through this course supports my day-to-day responsibilities such as invoicing and handling financial information.
Are there extra-curricular activities to get involved in at your work? (For example, any social activities, sports teams, or even professional networking events.)

Yes there’s been a range of extra-curricular activities that our workplace has held. Normally the office team organises its own social activities which I tend to take part in. I believe this helps keep our working relationships strong and keeps the team environment positive.
There have also been several organised events. This includes a Charity black tie event for the fundraising charity “Smile For Joel”. We also had a supplier invite us to a stand up comedy night with other suppliers. We had another supplier invite us to a the Perry Barr Greyhound Stadium. All of these events have provided us with good opportunities to socialise and network in a more informal setting.
We have also recently been involved in an Expo to showcase the business, which was attended by members of the Media team.

Why?
I would recommend working at First In Service because it offers a friendly and professional working environment. I personally feel quite valued working here. All of the office team are approachable and it makes an overall positive atmosphere so it’s enjoyable to work here.
The company also provides opportunities for personal and professional growth. There is also an understanding approach when it comes to personal matters, which makes a real difference.
Overall, it’s a supportive workplace that pushes for development.
What tips or advice would you give to others applying to First In Service Limited?
My advice would be to showcase your skills with confidence. My employer and the company values people who are willing to contribute and make a difference to the business. Being willing to learn on the job and to take on new challenges will help you grow within your role.
It’s also important to be kind and positive. The office works a lot better when there’s teamwork and communication.
