Planning Analyst Placement
Primary Purpose of the Job
At VWFS UK we are on an exciting journey, and we are looking for a Planning Analyst Undergraduate to join our Operations Planning team. Our business is evolving, and the Planning team is at the heart of it by ensuring the resource forecast schedule accurately meets the expected demand. This role is responsible for communicating updates to key stakeholders across the business with the delivery of accurate service levels and backlog prediction plans. The position will be supporting the Planning analysts and Strategic Planning Managers, enabling them to support Customer Operations in meeting budgets, performance targets and strategic goals, via effective workforce planning and scheduling. The role will be responsible for processing key reports and analysing specific performance data to support the line of business ensuring performance meets required ask.
Main Responsibilities
- Operate within the required contractual obligations for the outsource providers
- Attend and represent VWFS on outsource partner capacity plans and operational meetings where relevant
- Own and manage the Planning mailbox for all areas, responding to advisor / manager queries around shifts and holidays.
- Ensure that emails in the inbox are responded to within SLA
- Ensure that the workforce management system is accurately updated
- Respond and communicate in a personal and professional manner to internal customers and potentially external suppliers.
- Work with the Planners to schedule advisors shifts in advance of the 4 week publishing window
- Ensure all planned investment time (eg; training and All Staff Updates) are added to schedules in a timely manner and at an appropriate time to meet customer demand and service levels.
- Track allocation and attendance of planed events and flag any exceptions back to the planners to manage with the operation.
- Update the daily performance summary file with the previous day’s stats. Ensure accurate and timely recording of this data in time for the 8:30am performance call with the Director.
- Work with the planners to track Outsourcer actual productive hours supplied against agreed targets
- Create and own a mailbox workload report. This should include types of requests, volumes per request (broken down by department, team and individual). Present this report monthly in the planning meeting
- Where possible support the planners with the collation and capture of daily data that supports their day to day management of their respective departments.
- Identify efficiencies from the analysis of data and present this to stakeholders for possible implantation.

- Frequent daily interaction with all members of the Planning team
- Wider customer operations function and team members
- Strong working relationships with a variety of stakeholders at all levels is essential to the achievement of operational results as well as customer and colleague experience
Decision Making Scope
- Schedule amendments to optimise agents process requirement, ensuring agents are in the right place at the right time meeting customer demand.
- Detailed analysis will enable the applicant to make quantified decisions to prioritise workloads and manage resource accordingly.

Education, Training and Experience
- Experience of Microsoft Office, especially excel is preferred.
Skills and Personal Characteristics Required
- Excellent written and verbal communication skills – able to build effective relationships internally in VWFS and with all outsourced providers
- Good understanding of MS office, and particular focus on Excel usage
- Attention to detail is important in this role
- Strong organisational skills
- Strong analytical skills
- Have a constructive approach to giving feedback to stakeholders
- Make recommendations and decisions on factual information (not opinion)
- Resilience and the ability to maintain a positive approach
- A self-starter, able to work on their own initiative.
- High level of drive and personal commitment, with a desire to develop own skills and experience.
- Ability to work under pressure and adhere to strict deadlines.
- Analytically sound in order to analyse key data and produce meaningful, value-adding outputs.
