HR Operations Placement
Primary Purpose of the Job
As part of the HR Operations team this role exists to provide support to both the Employee Relations & HR Compliance Manager and the Culture & Engagement Executive in the delivery of key tasks, projects and initiatives as part of the annual cycle of activity.
Supporting these specialist areas of HR will give the role holder exposure to and involvement in a broad range of HR activities including Employee Relations (ER), developing data Management Information (MI) and reporting, employee engagement, community-related initiatives and Diversity, Equity and Inclusion (DEI).
Main Responsibilities
- This role has responsibility for activities that span Volkswagen Financial Services (UK) Ltd. (referred to as VWFS UK and VW Bank GmbH (UK Branch) known as VW Bank UK)) and therefore the role holder will comply with any applicable rules, regulations and standards in relation to (but not limited to), our European Organisational Handbook (E-OHB), the Financial Conduct Authority (FCA) and European Central Bank (ECB).
- Collaborate with the Employee Relations & HR Compliance Manager and wider HR function to produce MI for regular reporting cycles for key stakeholders including Board of Management (BoM), risk committees and HQ.
- Support the HR Operations team in the preparation of the annual MI packs for each functional business area and VWFS UK.
- Support the planning, coordination and any administration tasks to support in the delivery of DEI focused activities.
- Manage colleague communications and oversee the DEI and Community areas of the intranet system in collaboration with the Internal Communications team.
- Support VWFS in the Community in the delivery of volunteering opportunities for colleagues and matched funding requests, including reporting, request management and maintaining appropriate records for audit purposes.
- Support Community Committee meetings, including minute-taking.
- Manage the Community Committee and Inclusion mailboxes, coordinating responses promptly and efficiently to ensure timely and accurate communication and replies to emails.
- Support with the preparation, coordination and implementation of all employee engagement surveys and associated activities.
- Assist with various ad-hoc requests and activities within HR Operations, Culture & Engagement and the wider HR team as required.

- Details: As a member of the HR Operations team, attend team meetings, contribute to discussions, offer ideas and suggestions, and support the team with the delivery of assigned tasks. Seek guidance and support from the team as needed.
HR Team
- Frequency: Regular, as needed
- Details: As a member of the wider HR team, the role interacts as required to deliver tasks and activities.
Internal Communications Team
- Frequency: Regular, as needed
- Details: Collaborate closely with the members of this team to manage colleague communications for initiatives linked to DEI and VWFS in the Community.
All Colleagues
- Frequency: As required
- Details: Interaction with a variety of business colleagues through contribution to/delivery of projects or in the provision of support and guidance relevant to the remit of the role.
Decision Making Scope
The role holder can make most general day-to-day decisions relating to their areas of responsibility. This will include how they manage and prioritise their workload and providing advice to colleagues/departments (this advice is mostly underpinned by existing policies, procedures and guidelines).
Key Challenges
- Dealing with complex and often confidential and sensitive information that needs to be analysed and managed accurately.
- Being able to manage workflows from different HR areas and prioritise appropriately.
- Working with a system infrastructure that means gathering and analysing data can be a manual and more time-consuming process with limited integration and automation.
Education, Training and Experience
- Studying towards a degree, preferably HR, business or people related.
- Intermediate/strong Excel and PowerPoint skills (Tableau capability beneficial).
Skills and Personal Characteristics Required
- Ability to communicate clearly and confidently with colleagues at all levels, both verbally and in writing.
- Team player with a willingness to be flexible and adapt to pressures and demands on the team, being proactive to support others as appropriate.
- Strong organisational skills with the ability to deal with a large variety of tasks in a busy environment.
- High level of accuracy and attention to detail.
- Curiosity to explore and research broadly to support projects and other initiatives.
- Use own initiative to solve queries and find solutions.
- Ability to analyse and interpret data and present it in a way to engage audiences at all levels.
